# Templates, logo and colours > How invoice templates, the pay page theme, your logo and your colours work, where each one shows up, and why nothing goes live until a person publishes it. Source: https://support.billingmart.com/invoices/templates-and-branding Updated: 2026-10-17 · Applies to: Web · Section: Invoices & estimates BillingMart has four separate looks. **Templates** set the layout of the invoice PDF. The **Pay page** sets the colours and words on the page where your customer pays. Your **business logo** shows on that pay page. **Branding** under **Settings** sets the logo and colours of your customer portal. Your logo is not printed on the invoice PDF, and the emails are plain text with no logo. > **Note:** A template or a pay page theme is a draft until an owner or an admin publishes it. Nothing a person or the AI drafts reaches a customer before that. ## Invoice templates **Templates** lists your templates with their state, **draft** or **published**. A template is an ordered list of blocks: header, business details, client details, invoice number and dates, line items table, totals, notes, terms, pay link, footer text and spacing. You also choose a **Page size**, A4 or Letter, and an **Accent token**, one of BillingMart's own accent names. 1. Select **New blank draft**, or **Design with AI**, describe the look you want and select **Propose a draft**. The AI returns blocks only, never markup. 2. Edit the draft. Move or remove blocks, set their alignment, switch them on or off and edit the plain text of a header, footer, notes or terms block. Text cannot contain markup or a web address. 3. Select **Preview PDF** to see a sample invoice drawn by the same renderer your invoices use. 4. Select **Save draft**. An admin or owner selects **Publish**, and may be asked to confirm it's you. Publishing is refused until the template has a line items table and totals, and a block that should appear once appears once. The page lists what is missing. A published template cannot be edited. To change one, make a new draft. Staff can draft and preview. Viewers can only look. Templates are part of the plans that include the template designer. Without it you cannot save a draft, even a blank one, or publish one. **Design with AI** also uses AI credits. **A published template is used only by an invoice that names it.** On a draft invoice, choose it under **Invoice layout**. The choice appears once you have a published template, and **Standard layout** takes the template off again. A sent invoice keeps the layout it had. The API and a connected assistant can name a published template too, and take it off again. Every invoice that names none uses the standard layout. A draft template can never be named. If the layout an invoice names is no longer published, the editor still shows it as the current choice, marked **(no longer published)**, and the invoice's PDF uses the standard layout. Saving other changes does not touch it. Choose another layout, or **Standard layout**, to move off it. ## The pay page theme Under **Pay page**, a theme sets a headline and subheadline, a single or split layout, whether line items show, and three colours (accent, on-accent and accent-soft) for the light and the dark theme. Every colour pair is checked for readability in both themes, and a theme that fails cannot be published. A theme can also name a logo, which must be the business logo or a file in your own workspace. Themes are kept per business. The newest published theme of a business is used on its invoice pay links, including links already sent, the next time they are opened. ## Your logo - **Business logo.** Open **Businesses**, open the business and use **Logo** (PNG, JPEG or WebP, up to 2 MB), then select **Save changes**. Owners and admins can set it. It shows beside the business name on the pay page, for invoices and for payment links. - **Workspace logo and colours.** Under **Settings**, then **Branding**, an owner can upload a logo and a favicon and turn on **Custom accent colours**. The logo replaces the BillingMart wordmark in your console and on its sign-in screen, and shows in the customer portal and on the page an invited person opens. The colours apply to the console and the portal and are checked for readability. This needs a plan that includes your logo and colours. If a logo was not uploaded to your workspace, it is not shown to anyone. Upload it again. ## What is not branded The invoice PDF has your business name and details, not your logo. Invoice, reminder and receipt emails are plain text. A small "Powered by BillingMart" mark appears on the pay page, the PDF and the emails of workspaces on the entry-level plan. Other plans show none.
