# Jobs: change orders, endorsements and other changes > The kinds of change a record type offers, how a change is drafted and issued with its own number, and how issuing counts a send. Source: https://support.billingmart.com/jobs/adjustments Updated: 2026-10-26 · Applies to: Web · Section: Jobs Your workspace may use a different word for its work; the screens are the same. Work changes after it starts. A contractor issues a change order. An insurance agency endorses a policy mid-term. A law firm adds an emergency hearing. In BillingMart each of these is a change on the work record. It has its own kind, title, questions and number, and an amount that can raise the record's value, lower it, or be zero. ## The kinds of change Each record type has its own list of kinds. The business types set them up like this: | Business type | Kinds of change | | --- | --- | | Contractor | Change order, Change directive, Allowance adjustment, Time extension, Deductive change order | | Insurance Agency, Policy type | Endorsement, Cancellation, Reinstatement, Premium audit | | Insurance MGA, Policy and Bond types | Endorsement, Cancellation, Reinstatement, Premium audit, Rewrite, Bordereau correction | | Insurance Carrier, Policy type | Endorsement, Cancellation, Reinstatement, Premium audit, Rewrite, Rescission | | Legal | Emergency hearing, Engagement amendment, Amended pleading, Added party, Fee arrangement change | | Towing & Roadside | Additional service, Mileage adjustment, Storage extension, Waiting time, Release or hold change | | Property Management | Lease amendment, Rent adjustment, Tenant charge-back, Work order change | Some types have no kinds, such as the Insurance Agency Service type and the Insurance MGA Submission type. ## Set up the kinds Owners and admins set the kinds on the **Changes** tab of the type editor, under **Settings**, then **Work & terminology**, then **Record types**. For each kind: - **One is called** and **Several are called.** Its name, such as Change order and Change orders. - **Number prefix.** One to six capital letters, such as CO or END. - **Amount.** **Adds to the total**, **Takes from the total**, **Adds or takes away**, or **Carries no amount**. A Time extension and a Release or hold change carry no amount. - **The client approves it before it is issued.** A change of this kind needs the client's approval recorded before it can be issued. - **Archived: no new ones.** A new change cannot use an archived kind. - **Questions.** Up to 20 of its own, set like a record's questions. A type can have up to 12 kinds. Once a kind is published, its number prefix and its amount setting are fixed. It can be archived, but not removed. ## The life of a change 1. **Draft.** A change needs a kind and a title. It can also have an amount, an effective date, a description and answers to its questions. A draft has no number and counts nothing. It can be edited or discarded. A cancelled or discarded record takes no new change. 2. **Approved, when the kind asks for it.** An owner or admin records how the client approved the change. Changing its amount or title afterwards clears the approval. 3. **Issued.** Only a change on an active or completed record can be issued. Its amount is needed, unless the kind carries none, and so are the answers its questions require. Issuing gives the change its number on that record, such as CO-1, then CO-2. A number is never reused. Issuing counts as one send. It is never refused at your monthly limit. An issued change cannot be edited. Issuing the same change twice gives the same number and counts one send. 4. **Void, if it was wrong.** An owner or admin can void an issued change with a reason. It is kept, marked void, and stops counting toward the record's total. Its number stays used and the send is not returned. Owners, admins and staff draft, edit, discard and issue changes. Recording the client's approval and voiding are for owners and admins, and may ask you to sign in again and to use your second sign-in step. A change reads its kind from the revision of the record type it was drafted under. A draft whose kind was archived since cannot be issued. The amount is in the record's currency. A change in another currency is refused. ## Work with changes on a record ![The Details tab of a record, with its Changes card below Basics.](https://support.billingmart.com/jobs/img/record-details.png) 1. Open the record and go to the **Details** tab. The **Changes** card lists the record's changes, each with its kind, amount, effective date and status: **Draft**, **Issued** or **Void**. 2. To add one, select **Add…** on the card and choose the kind, for example **Add change order**. Fill in the **Title** and what else you need, then select **Save draft**. 3. Open the menu beside a change to act on it: - **Edit** or **Discard** a draft. - **Record the client's approval…** Write down **What the client said or wrote**, then select **Record approval**. A draft that has it shows "Client approved". - **Issue…** The dialog shows how many sends are left this month, then **Issue** numbers the change. Until a needed approval is recorded, **Issue…** is not available. - **Bill this change…** For an issued change that adds to the total. **Create draft** makes a draft invoice for its amount and opens it. Nothing is sent; you review and send it. A change can have only one live invoice. A change that lowers the total, or has no amount, is never billed this way. - **Void…** Give a **Reason**, then select **Void change**. A draft invoice already made from the change is not changed; the dialog tells you how many there are, so you can review them on the **Billing** tab. The card is not shown for a record type with no kinds of change. ## Where a change shows Once a change is issued, the record's **Overview** shows an **Adjusted total**: the original value plus its issued changes. ![The Overview of a record, with its Adjusted total.](https://support.billingmart.com/jobs/img/record-overview.png) Issuing and voiding each add a line to the record's **Activity** tab: "Change issued" and "Change voided". Select the **Changes** filter to see them with the record's other updates. A draft adds no line. ![The Activity tab of a record, with its notes and filters.](https://support.billingmart.com/jobs/img/record-activity.png) ## Good to know - **Insurance amounts are entered by a person.** BillingMart does not work out flat, pro-rata or short-rate premiums. Enter the return or additional premium yourself. - **A cancellation does not cancel the record.** Issuing a Cancellation endorsement leaves the record's status as it is. Cancel the record separately if the policy has ended. - **A record with a change keeps its type.** It cannot be moved to another record type.
