# Create a work record > Choose a record type, fill in the title, client and details, and create the record as a draft or create and activate it in one step. Source: https://support.billingmart.com/jobs/create-a-record Updated: 2026-10-26 · Applies to: Web · Section: Jobs A work record is one piece of work you do for a client. The console calls them Jobs. Your workspace may use its own word. A towing workspace calls them Calls, a law firm calls them Matters and an insurance agency calls them Policies. The screens are the same. Every record has a record type. The type sets the questions the record asks and its stages. A towing workspace starts with types such as Towing Service, Jump Start and Lockout. A law firm starts with Consultation, Estate Planning, Business Formation and Litigation. A type can have its own word for one record. The Litigation type calls each record a Case. ## Choose a type ![The type picker for a new record.](https://support.billingmart.com/jobs/img/new-record-picker.png) 1. Open **Jobs** and select the create button at the top of the list. When you have pinned types, the button starts your first one, and its menu lists the others and **More types…**. 2. Pick a type. The picker groups types as **Pinned**, **Recent** and **All types**. Type in **Search types** to filter by the type's name or by another word for it. 3. Select **Continue**. You see the types that are set up for the business you are working in. If there are none yet, the page says **No types yet**, and an owner or admin sets them up. A viewer can see records but cannot create them. ## One page or steps The type decides how the form looks when it opens. A short type opens as one page. A longer type opens as steps: **Client & basics**, **Details** and **Review & create**. The layout is chosen once, when the form opens. ## Client and basics ![The first part of the form for a new record.](https://support.billingmart.com/jobs/img/new-record-form.png) - **Title.** The record's own name, up to 200 characters. You need a title to create the record. The type's name shows in the box as a hint only. - **Client.** You can leave it empty for now. Some types need a client before you activate the record. Others need one before you bill it. - **Estimated value.** What the work is worth to you, for your own reference. The record is made in the business you are working in and uses that business's currency. It is assigned to you. ## Details The Details part shows the type's questions in their sections. A question can be required to activate, to complete or to bill. Its label says when, for example **required to activate**. Some questions appear only after another answer. A file question is answered from the record's own documents. Save the draft, attach the files on its **Documents** tab, then tick them in the question. Until the record has files, the question says to attach them first. Address and team-member questions show **Chosen on the record.** You cannot answer them in the form yet. ## Review and create **Review & create** shows **Ready to activate**, or **Needed before activation** with the answers that are still missing. - **Create** (the button names your record, for example **Create call**) saves the record as a draft and opens it. A draft has no number yet. - **Create & add another**, in the menu beside it, saves the draft and goes back to the type picker with the same client. - **Create & activate**, in the same menu, saves the draft and activates it at once. If an answer is missing, the record stays a draft, a message says how many answers are needed, and the record opens. ## What activation does You can also activate a draft from the record itself with **Activate**. The dialog lists anything still needed. Select a line to jump to that answer. Activation gives the record a number and makes it ready to invoice. A type can set its own number format. Without one, numbers look like JOB-2026-0001. Before it activates, BillingMart checks the answers the type needs to activate and, when the type requires it, a client. Activating a record counts as one send. The dialog shows how many sends your workspace has used this period. Activation is never refused when your workspace is over its sends. The record is still activated and counted. Activating a record that is already active does not count again.
