Invite your team and set roles

How to invite someone to your workspace, what each role can do, and how to change a role, limit access to one business, or remove them.

Last updated Web

Owners and admins invite people from Team. You type the person's email address and choose a role: Admin, Staff or Viewer. BillingMart emails them a link. It works once, only for that address, and only after that address has been verified. The link lapses after a week.

Note: If you do not see Team, you are a staff member or a viewer. Ask an owner or an admin.

Invite someone

  1. Open Team and select Invite someone.
  2. Enter the email address they sign in with.
  3. Choose a role. See the table below.
  4. Choose All businesses, including any added later, or pick the businesses this person may work in.
  5. Select Create invite link.

You may be asked to confirm it's you first. If your workspace requires two-step verification for admins, you need yours to change the team.

The next screen says Invitation emailed. The email comes from your workspace's name "via BillingMart", and a reply goes to you. If the email could not be sent, the screen says Invitation created, not emailed. A sandbox workspace emails only its own team. In both cases, copy the link from the screen and send it yourself. The link is shown once. If you lose it, revoke the invitation and create another.

What each role can do

Role What they can do
Owner Everything. Only an owner sets workspace settings, branding and security, or buys a plan or AI credits.
Admin Everything a staff member can do, plus voiding and refunding, credit notes, write-offs, merchant accounts, connections, the activity log, businesses and the team.
Staff Day-to-day work: clients, invoices, estimates, recording payments, importing, time, expenses and mileage. Staff can decide Agent requests that do not move money or change settings.
Viewer Can look at clients, invoices, payments and reports, and changes nothing. A viewer cannot open Settings, Team, Connections or Activity.

When the person accepts

They open the link, sign in or create a password, and verify their email if it is not verified yet. The invitation only works for the address you typed. If they sign in with a different one, the page tells them to use the address it was sent to. After they accept, they are on the team with the role you chose.

Change a role, limit access or remove someone

Select the ... menu on a person's row.

  • Change role picks a new role. It reaches their session within the hour. Lowering a role also ends their sessions, so they sign in again.
  • Limit to businesses sets which businesses they can reach. A confined admin can only grant businesses they hold themselves.
  • Remove from team signs them out on all their devices and disconnects any apps they connected. You can invite them again later.

A workspace always keeps at least one owner. You cannot remove yourself here. Under Pending invitations, Revoke invitation stops a link at once.

If you reach your plan's member limit

Your plan sets how many team members you can have. An open invitation counts as a seat until it is accepted, revoked or lapses. When there is no seat left, the invitation is refused with a message to compare plans. Nothing you already have is changed. If a workspace is full when someone tries to accept, the invitation stays open and works once a seat is free. Your customers are never counted as members.
