What BillingMart does
A short tour of BillingMart for small businesses: invoices, payments, clients, time and expenses, the Agent and the phone apps, with links to the help for each.
BillingMart is where a small business bills its customers and gets paid. You create invoices and estimates, send them, let customers pay by card on a page of their own, and keep track of who owes what. You can also track your time, mileage and expenses and bill them, record the bills you owe, and ask the built-in Agent to do some of the work. It runs in the browser and on iPhone and Android.
Invoices and estimates
Write an invoice from your clients and your products and services, and BillingMart works out the totals. See Create an invoice and Send an invoice. You can also:
- send estimates that a customer accepts or declines
- repeat an invoice on a date with recurring invoices
- chase late payers with payment reminders
- on plans that include jobs, bill big jobs in stages, with deposits, progress billing and retainage
Sends count against a monthly allowance on some plans. See What counts as a send.
Getting paid
Customers pay on a BillingMart pay page by card. You can also share a payment link that takes a payment without an invoice, and record cash or a check you received another way. A new workspace gets a test merchant account so you can try payments with no real money. To take real card payments you apply for your own, as described in Get your merchant account approved. To see what your customer sees, read How your customers pay.
Clients
Keep your clients in one list, with the contacts you send to. Your customers can sign in to a portal without a password to see their invoices and pay. A contact must be confirmed before it can reach the portal. See Add and manage clients and The customer portal.
Time, mileage and expenses
Run a timer or log time by hand, record mileage and expenses, and turn what you have not yet billed into lines on an invoice. See Track time with a timer and Bill time, mileage and expenses. On plans that include vendor bills, you can track what you owe suppliers: see Record vendor bills.
Your team
On plans that include a team, invite people as admin, staff or viewer, and limit what each can do. See Invite your team and set roles.
The Agent
The Agent is a chat assistant inside BillingMart. It looks things up and drafts work as you. Anything that sends, charges or changes settings waits for a person to approve it, unless the owner has turned on Auto for that kind. See The Agent: Ask, Plan, Audit and Auto.
On your phone
The iPhone and Android apps let you sign in, log time and mileage, record payments, approve the Agent's requests and get notifications. See Sign in on your phone.
Plans and your first steps
A new workspace usually starts with a trial, then moves to the plan you choose, or the free plan. See Your trial and the free plan. To begin, read Create your workspace and Send your first invoice. Your account settings, including two-step sign-in, are under Your account in the console.
If you get stuck, see Contact support.
