Send an invoice
What Save and send does, who gets the email, what happens when the customer's email is not confirmed, and what counts as a send.
Select Save and send on a draft and BillingMart saves it, gives it an invoice number, marks it Sent, and emails the customer a message with the PDF attached and a link to pay. Owners, admins and staff can send. Every send counts toward your workspace's monthly sends, including one that could not be emailed.
Before you start: look at the customer's email on the invoice form. It says "(not yet confirmed)" if nobody has confirmed that address. You can still send.
Send a draft
- Open Invoices, and open the draft with Edit draft in its row menu. Or finish a new invoice in the editor.
- Check the lines and dates. Every line needs a description and an amount. An invoice with no line, or a total of zero, is refused.
- Select Save and send. If your business type has required details and one is empty, the editor marks it and stops. See Custom fields on invoices and estimates.
- Read the box that opens, "Send this invoice?". It says who gets the email. If the due date has already passed, it warns you that the invoice goes out overdue.
- Select Save and send again. You see "Sent as" and the number, and the list opens.
The menu next to the button, More ways to save, has Save and new and Save and close. Those save but do not send.
What happens when you send
- The number comes from your business's numbering and is given now, not when you create the draft. A draft never uses a number.
- The status becomes Sent, and the email goes to the customer with the PDF and a pay link.
- If texting is on for your workspace and you turned on Text the pay link when an invoice is sent in Settings, a text also goes to a customer phone that is confirmed and has agreed to texts.
- A connected assistant can prepare a draft, but sending needs a person to approve it, unless your owner set a capped rule that covers it. See Approve requests on your phone.
If the customer's email is not confirmed
| The customer's email | What happens | What you see |
|---|---|---|
| Confirmed | Emailed. | "Sent as" and the number |
| On file, not confirmed, has not bounced | Emailed, and the email is logged. | "Sent as" and the number, then "email not confirmed yet" |
| None, bounced, or email cannot be sent | Not emailed. The invoice is still numbered and sent. | "Sent as" and the number, then "not emailed" |
For an email that is not confirmed yet, the pay link in the email opens a page that says who sent which invoice for how much, with one View invoice button. Tapping it confirms the address. The link opens that one invoice and nothing else: not the customer's other invoices or history. Only a confirmed contact gets more.
If the email was not sent, you stay on the invoice. The Pay link card shows the link with Copy link, Open and a QR code, and how long it works. Send it to the customer yourself. If it ran out, select Make a new link.
An owner can also open the customer under Clients and select Mark verified on their email, with a reason. It asks for a recent sign-in and a second step.
What counts as a send
A send is an invoice or estimate delivered, or a payment received through a payment link. Creating or saving a draft is not a send. A send counts even when the email was not delivered, because the invoice is numbered and live.
If your workspace has used its sends for the month, the invoice is refused with a message and links to See the plans and Plan & usage. Your draft is saved and nothing is numbered. Nothing is locked: invoices already sent stay live and payable, drafts still save, estimates still go out, and payments still record.
After you send
The invoice opens read-only. To fix a mistake, see Change, void or delete an invoice.
