Time and mileage on your phone
Start and stop a timer, add time or mileage by hand, and see what the phone records. The apps do not record trips by GPS.
On your phone you can run a timer from Home, and add time or mileage by hand from More. When you stop the timer, it saves your time as an unbilled time entry, unless it ran for less than a minute. The apps do not record trips by GPS, so they never ask for your location.
Note: Owners, admins and staff can start timers and add entries. Viewers can read them but not change them. Your plan must include time tracking, or the app tells you it cannot start.
Run a timer
- On Home, tap Start timer (on Android it is the first button on Home).
- Optionally choose a client. If your workspace has more than one business, choose the business too.
- Optionally type a job or project, and add photos from your phone.
- Tap Start.
A counter shows on Home. It counts from the moment we recorded your start, so it is right after you close the app or lock the phone.
To finish:
- Tap Stop.
- Add photos of the finished work if you like.
- Tap Stop again to confirm.
The phone shows Session saved with the time. A timer that ran less than a minute saves no time, and the phone says so. If you picked a client, the entry is marked billable. Otherwise it is saved as not billable. Either way it is unbilled until you bill it, and the app's "ready to put on an invoice" means it now sits in your unbilled time. A timer entry has no hourly rate, and billing leaves out time with no rate. Open it under More, then Time & expenses, add a rate (and a client, and tick Billable, if it had none), then bill it from the website. See Bill time, mileage and expenses.
Discard throws the timer away. Nothing is saved, no time is recorded, and its photos are removed. The app asks you to confirm first.
You can have one running timer at a time. A timer you started on another phone shows up here too.
You need a connection to start and stop. If the connection drops while you start, start it again. It will not make a second timer.
See your sessions
- iPhone: on Home, tap Time & trips.
- Android: tap More, then Time & trips.
Tap a session to see its status, when it started, what it recorded, the project and its photos.
Add time or mileage by hand
- Tap More, then Time & expenses.
- Choose Time, Expenses or Mileage.
- Tap Add (the plus on iPhone).
- Fill in the form and tap Save.
For time, you give the date (on Android, typed as year-month-day), the hours (like 1:30 or 1.5), what you did, whether it is billable, and an optional hourly rate. For mileage, you give the date, the distance, miles or kilometres, where from and to, the purpose, and whether to bill it to the client.
Each list shows the newest entries. You can open one that has not been billed and change it. Once an entry is billed to an invoice, it opens read-only.
Trips and location
The apps do not record GPS trips. There is no Start trip button, and the apps do not ask for location. Type your mileage in by hand.
