Recurring invoices

Set up a schedule that creates and sends the same invoice on a repeating date, and learn what repeats unchanged and what happens at your sending limit.

Last updated Web

A recurring schedule creates and sends an invoice on a repeating date, with no one pressing send. Each one is a normal invoice: it gets the next number, it is emailed to your customer, and it counts as one send. If your plan does not include recurring invoices, saving a new schedule is refused and the screen says the feature is not part of your plan.

Set up a schedule

  1. Open Recurring and select New schedule. You can also start from an invoice with Make recurring, which carries the customer, lines and details over. Starting from a customer with New transaction, then Recurring invoice, carries only the customer.
  2. Choose the customer and the Frequency: weekly, biweekly, monthly, quarterly, semiannually or annually.
  3. Set the Start date. Optionally set an End date or a number of Occurrences. Either one ends the schedule.
  4. Optionally set Net days, the days until each invoice is due. If you leave it empty, your business's usual terms apply.
  5. Add line items and fill in Details if your business type has them.
  6. Check the next run line, which updates as you fill in the start date, then select Save. The drawer closes and the date appears in the Next run column of the list.

Each occurrence runs at 09:00 in your workspace's time zone. The check runs hourly, so an invoice goes out shortly after 09:00. A schedule that starts on the 31st runs on the last day of shorter months.

What repeats unchanged

Every invoice gets the same customer, line items, currency, language and Net days. The Details repeat too, with one exception. A detail whose key names a period, such as "Billing period", moves on by one step each time, when the app can read the month in what you typed. It reads labels like "October 2026", "Oct 2026", "2026-10", "Q4 2026" and "2026". Weekly and biweekly schedules do not move it. A label it cannot read repeats as typed. Check the first invoice.

A schedule does not carry notes, terms or a PO number.

Change, pause or stop

  • Edit changes apply from the next occurrence. Invoices already sent do not change.
  • Changing the customer applies from the next run and turns off autopay for the schedule. The new customer can set it up again.
  • Pause stops it. If dates passed while it was paused, Resume opens an Invoices were missed window. Skip them sends nothing for those dates. Issue 3 now (the number is how many were missed) sends them now, each one emailed. The same window appears if you start a schedule with a past date.
  • If your customer has turned on autopay, each invoice is charged right after it is sent. A failed charge never un-sends the invoice.

When it cannot send

  • A required detail is missing. The schedule shows needs attention and is put on hold. Edit it and add the detail, or finish the draft invoice.
  • You are at your sending limit. The invoice is created as a draft and not sent. The schedule does not move on. It tries again every hour. When sends are available again, it sends that invoice and any others that came due, each as its own invoice. Nothing is lost, but they go late. See What counts as a send.
  • Something else fails, such as an archived customer. It is tried again the next hour.

Each invoice is also followed by payment reminders like any other.
